3 systems that will give you your time back.

Time is your most valuable asset so protect it.

If someone followed you around for a week, would they see that you’re becoming the person you want to be?

Big question.

But your calendar can answer it very quickly.

Would they see you building the business you say you want?
Or just busy, reactive… doing work that shouldn’t be yours anymore?

(I’m not holding back today).

Because your calendar isn’t just your schedule, it’s evidence.

Of what you prioritise.
Of what you tolerate.
Of how you actually spend your time.

I’ve been putting this to the test while I’ve been in America.
Different time zones. No routine, no fixed desk. 

Making the most of my time left in America.

And weirdly I’ve managed to feel more in control of my time than ever. 

Working remotely doesn’t give you time freedom (sadly).

It just exposes whether you’ve actually built for it.

The systems either hold.
Or they don’t. 

And, I think I’ve cracked mine so I want to help you crack yours. 

Here are the 3 systems that get my time back every single week.

1. I protect my calendar first. Everything else comes after.

I take all my calls in the morning.

Usually 6:30am → 12pm (for my UK clients).

Mornings are for people.
Afternoons are for me.

That’s when I do deep work; client content, my content, coaching prep, admin.

Or let’s be honest… if a beach is calling while I’m out here, I go. Which is kind of the whole point.

But as a rule of thumb, I’ll protect at least 2 lighter call days a week.

Max 2 x 30-minute calls.
The rest is for actually getting sh*t done.

What people really underestimate:

context switching is a time thief.

Not just inconvenient. But expensive. You can’t do your best work when your brain is being dragged between calls, Slack, emails and “quick questions” all day. 

Deep work can only really happen when you actually create the conditions for it.

2. I know what only I can do. And I’m ruthless about the rest.

I asked myself one question:

What can only I do?

→ Client calls & content
→ Coaching calls
→ Webinars
→ Creating my content

That’s the list.

Everything else needs a name next to it  and that name isn't mine.

Because when you first start a business, of course you do everything. You kind of have to. But at some point, it stops being a strength and starts being the bottleneck.

If your time is worth £200/hour
And you’re spending it on £15/hour tasks…

You’re not saving money.

You’re losing time and the opportunity that comes with it.

So now?

Anything that isn’t on that list gets:

→ Delegated
→ Automated
→ Or removed completely

Your energy should be going to the things that actually require your brain, your creativity and your experience.

3. I’ve built a delegation stack (including AI)

This is where I’ve got hours back every single week. 

My VA team handles:

  • Graphics

  • Slack updates

  • Reporting

AI handles the rest:

  1. Claude AI – my go-to for writing and first drafts

  2. Claude Coworker – manages my inbox + tells me who I actually need to reply to

  3. Google Gemini – infographics (saves me time and money)

AI is not there to replace your thinking.

It’s there to remove the parts of the process that don’t need to start with you from scratch every single time.

YOUR ONE TINY ACTION THIS WEEK:

Go back and look at your last 5 posts.

Do a time audit for 3 days. Every hour, write down exactly what you’re doing. It’s long and annoying (I know, I’ve done it!!) but you’ll have a pretty clear idea of where your time is going. 

At the end, go back through it and label everything:

→ Only I can do this
→ AI could help with this
→ I could delegate this

You’ll see the problem very quickly.

And that’s a good thing.

The goal isn’t to offload everything.

It’s to be ruthless about where your hours are actually going and take back the ones that don’t need to be yours.
